The Great Escape is, as the name suggests, an escaperoom in Zwolle, the Netherlands. The company is almost celebrating its 10th anniversary and has grown considerably over the years. Owner Johan Post talks about the concept and about using Recras as a booking system.

“We now have six on-site escaperooms and four ‘outdoor escapes.’ But you can’t just come to The Great Escape to get yourself locked in a mystery room. ‘We collaborate with local restaurants and caterers. For example, people can book an escape room with us and have a nice bite to eat in the city afterwards. ‘Or they can have an on-site buffet delivered by a caterer we work with.’

‘Until two years ago, we made our quotations in Word, where we then had to put the programme in manually. We sent that to the customer and to the restaurant, we had to keep an eye on whether all parties agreed, we had to manually process changes and book time slots…. It wasn’t very efficient. We were keen to design our processes better.’

Good contact

When Johan asked some colleagues in the industry about their recommendations for reservation systems, Recras came out on top. The choice was therefore quickly made. From day one, the contact was good. We really like the fact that it is a Dutch company and that we are simply spoken to in Dutch. Small things are picked up immediately, and if something takes a bit longer, it is put on the planning immediately.’ An example is the connection of the POS system with Recras. That was a new connection. Then teething troubles are inevitable. But because we were able to fine-tune everything, it quickly worked properly.

Efficient communication

Johan thinks the biggest advantage of Recras is efficiency. ‘We notice that we save a lot of time in making options, quotations and invoicing. Not only does communication with our customers run more smoothly; it also goes better with the restaurants and caterers.’

A press of a button

‘When we receive a request by mail or phone, we create an option and then immediately the time slots are reserved in the schedule. The guest receives confirmation of the programme including the cost, and the restaurant is also informed immediately. If there are any changes, all parties involved are notified. On the day itself, the checkout system is also linked to Recras. If extra drinks are charged, this is tracked and we can send the invoice the next day with one push of a button with everything that was discussed in advance as well as what was added on the day itself.’

We automatically get an update when an invoice is paid or not, and with a simple action we can send reminders.
