Try it yourself: send a quotation to yourself
- Request a quotation via the booking process below.
- You’ll receive a confirmation email in your inbox.
- In the test environment, a follow-up action will appear on the homepage – click on it.
- You can now send a quotation to yourself by clicking Option > Quotation with attachments.
- Open the quotation in your inbox and accept it right away.
- Back in the test environment, a new follow-up action will appear confirming the quotation has been accepted.
It’s that simple!
Note 1: Recras is available in multiple languages. In your own Recras account, you can set the language to your preference.
Note 2: You can find the booking process for this quotation in Recras under Settings > Book processes, listed under the section Online booking.
The demo environment
The demo environment is specifically designed for you to test everything freely and without worry. Enter data, create bookings, adjust settings: it’s your playground! Every night, the demo environment is automatically refreshed. That means all entered data is reset to its original state. So each day, you can start again with a clean slate.
On this page, you’ll find simple navigation to help you quickly find your way around the Recras demo environment. A more detailed user guide can be found under Profile (click on the profile picture in the top right corner) > Manual.
Recras in a nutshell
Below you’ll find an overview of how to get started with the Recras system. This will help you quickly get familiar with the key features and navigate the system with ease.
Homepage
The homepage is the central dashboard and starting point of Recras. It gives you an instant overview of everything happening within your organisation.
Weekly schedule
On the right-hand side, you’ll find the weekly schedule with all upcoming bookings. Click on a customer’s name to go directly to the corresponding booking. There, you can see what the customer has reserved and access all contact moments with them.
Blue buttons
On the left side of the screen, you’ll find the blue buttons, your shortcut to key actions and overviews in Recras. These buttons give you a compact summary of all ongoing tasks.
Navigation bar
The navigation bar is logically structured around the functions you use most often and the different user roles you can assign within Recras. Everything is clearly organised so you can work efficiently.
Menu
Under Menu, you can easily view and manage your daily and staff schedules. Need to add a new customer or supplier? You can do that in just a few clicks. There’s also a quick booking feature.
Overviews
The Overviews section gives you insights into everything happening in your organisation. Here you can view statistics, access the detailed staff planning, and manage financial administration. For example, check outstanding invoices or create vouchers.
Settings
The Settings tab gives you control over your Recras configuration. Set up your booking processes and contact forms so customers can easily book via your website. You can also create automatic booking emails, such as confirmations or reminders before an activity. For quotations and booking proposals, Recras offers convenient templates that generate a complete PDF with one click. You can also manage user roles to control who has access to specific information.
Point of sale
The Recras POS is designed for smooth front-desk sales. You can quickly sell products like tickets and easily adjust bookings – for example, by adding extra people or linking new products to existing reservations. The POS also provides a live overview of the day’s schedule and upcoming bookings, helping you assist customers quickly and accurately.
Follow-up bell
The bell icon ensures you never miss an open task. It appears on the homepage and is also directly accessible from the navigation bar, so you can take action right away.
Explore the test environment yourself
Below is an overview of some key features and options you can explore in the test environment.
Viewing a booking
To view a booking, go to the homepage by clicking the Recras logo. On the right side of the page, under “Bookings coming week,” you’ll find an overview of upcoming bookings. Click on a specific booking to open the details. On the left side of the booking page, you’ll see the customer’s information, such as name and contact details. On the right side, you’ll find contact moments, like automatic booking emails. You can also easily add new contact moments here.
Scroll down to view the booking’s schedule. Use the blue button to make changes, such as adjusting the number of participants or the arrival time. Under the “Costs” tab, you can send a deposit invoice or check any outstanding payments.
At the bottom of the page, you’ll find an overview of previous interactions with the customer. Here you can see if the customer has made a booking before and which invoices have already been paid. This gives you a complete picture of the customer’s history.
Staff planning
With Recras, you can automate your staff management and give employees the ability to manage their own planning and time tracking. Go to Overviews > Staff planning. Here, you can select a date and use the + New shift(s) button to add new shifts. You can also edit existing shifts by clicking directly in the calendar.
Adjusting user roles
With user roles, you decide who has access to which information. You can also control booking management, customer data, and communication per user. Go to Settings > Staff > User roles. Click + New user role to create a new role. You can assign specific permissions per role by going to the Permissions tab. Under Users, you’ll see which staff members have been assigned to that role.
Creating templates
Recras offers powerful templates to easily generate quotations and other documents.
Go to Settings > PDF Templates under Bookings. Here you’ll find various existing templates you can customize to fit your needs. Want to create a new one? Click + New PDF Template. You can preview how the PDF will look under the Preview tab.
Linking suppliers
Automate communication with external suppliers. Recras keeps your suppliers informed of any changes to a booking. If special notes are added to a booking like dietary requirements for a caterer or the setup of a bouncy castle, your supplier will receive a notification.
Go to Menu > New Supplier and enter the supplier’s details. Link the supplier to a product via Settings > Products. Suppliers will automatically receive updates when a booking changes, as well as reminders shortly before the activity.
Using the POS
The point of sale in Recras gives you control over your daily customer flow. Go to POS in the navigation bar to sell tickets, process payments, or edit bookings.
During check-in, you can choose Walk-in for customers without a reservation or find an existing booking under Search customer. From the point of sale, you can edit the booking such as changing the number of participants, adding the customer’s name, or updating the booking status to Interested or Cancelled.
Checking the Bookings overview
For a clear overview of all bookings on a specific date, go to Menu > Bookings overview. Here you can apply filters such as date, booking status, and arrangements, and choose how you want to view the overview (for example, as a weekly or daily agenda).
This is especially useful when handling phone inquiries or walk-in reservations and you need to quickly check availability.
